About OSIF
The Okanagan Society of Independent Filmmaking (OSIF) is a registered non-profit organization since 2003. Dedicated to supporting, educating, and connecting filmmakers throughout the Okanagan and beyond. Through workshops, networking events, film competitions, festivals, equipment access, grants, and educational programming, OSIF helps cultivate a thriving local film industry and creative community.
As the organization continues to grow, we are seeking a passionate and organized Executive Director to lead day-to-day operations while working closely with our volunteer Board of Directors to shape the future of filmmaking in the region.
Position Summary
The Executive Director serves as the organization's senior operational leader and is responsible for managing the day-to-day operations of OSIF while implementing the strategic direction established by the Board of Directors.
This role requires a self-motivated individual who enjoys wearing many hats, building relationships, managing projects, solving problems, and helping creative people succeed. The ideal candidate is highly organized, collaborative, and comfortable balancing administrative responsibilities with community engagement and event leadership.
Primary Responsibilities
Organizational Leadership
● Manage the day-to-day operations of the organization.
● Implement the strategic direction established by the Board.
● Attend and support Board meetings.
● Prepare reports and organizational updates.
● Maintain organizational policies and procedures.
● Support committee initiatives.
Financial Administration
● Assist with annual budgeting and financial planning.
● Monitor organizational expenditures.
● Coordinate bookkeeping and financial reporting.
● Assist with grant administration and reporting.
● Manage invoices, payments, and financial documentation.
Events & Programming
Lead and coordinate many of OSIF's annual programs, including:
● Okanagan Screen Awards
● HorrorFest
● Script 2 Screen
● Networking events
● Educational workshops
● Community screenings
Responsibilities include planning, logistics, scheduling, volunteer coordination, venue communication, and event execution.
Membership & Community Relations
● Serve as the primary point of contact for members.
● Respond to inquiries.
● Foster relationships within the local filmmaking community.
● Develop partnerships with industry organizations, sponsors, educational institutions, and community groups.
● Recruit and coordinate volunteers.
Marketing & Communications
● Manage OSIF's website.
● Coordinate newsletters.
● Oversee social media platforms.
● Develop promotional campaigns.
● Prepare media releases and public announcements.
● Promote events, programs, and membership opportunities.
Grants & Sponsorship
● Research funding opportunities.
● Prepare or assist in grant applications.
● Complete grant reporting requirements.
● Develop and maintain sponsor relationships.
● Identify new partnership opportunities.
Administrative Duties
● Maintain organizational records.
● Coordinate insurance and society annual filings.
● Manage digital assets and organizational accounts.
● Maintain calendars and scheduling.
● Ensure operational systems remain organized and current.
Qualifications
The ideal candidate will possess many of the following:
● Strong organizational and project management skills
● Excellent written and verbal communication
● Experience working independently with minimal supervision
● Ability to manage multiple projects simultaneously
● Strong problem-solving skills
● Budgeting or financial administration experience
● Experience with event planning or nonprofit administration
● Familiarity with social media and website management
● Grant writing or fundraising experience is considered an asset
● Knowledge of the film, arts, or non-profit sector is considered an asset
Equivalent combinations of education, volunteer experience, and professional experience will also be considered.

Compensation
Compensation is negotiable, and dependent on experience and available organizational funding.
