Election Process
4.4 Elections for directors must follow this process:

Elections must be held each year before April 1st.

Nominees must submit self-nomination forms for themselves.

Nominees must be a Society member, in good standing, at the time of self-nomination.

All nominees will be presented to an election committee, who will evaluate each nominee based on experience, merit, and value to the Society.

All nominees who are recommended by the election committee, will have their names available to be elected as Directors by Society membership in the upcoming election.

Nominees who were not selected by the election committee, will not be in the running for election to the Board.

Elections are held for nominees to fill any available spots on the board of directors each year, as determined by section 4.3(b) above. Unless determined otherwise by the board of directors.

If less than the required number of nominations have been recommended by the election committee, the nomination process must be extended until that number has been reached.

If the minimum number, or greater, of nominees is recommended by the election committee, an election is held, giving membership a minimum of 5 days after the announcement of nominees to cast their vote.

Nominees with the greatest number of votes at the end of the voting period, as decided by the Society Members, will fill all vacancies available on the Board.

In the event of a tie of votes between nominees for the final position on the Board; the remaining Board Members, who are not up for election, must vote to decide which nominee they would like to serve on the Board with them (majority rule). If it is still tied after this vote, the current Executive Director will have the power to decide which nominee will hold the final Board position.

Elections must be organized by a member(s) of the society, in good standing, appointed by the Board, who is not running for a Director position in the election.

The Election committee must have a minimum of 3 members and members must also not be a nominee running for election.

Elections may be administered electronically.

Voting results must remain anonymous to the nominees, elected board, and general membership.
Role of Treasurer
6.6 The treasurer is responsible for doing, or making the necessary arrangements for, the following:
-
receiving and banking monies collected from the members or other sources;
-
keeping accounting records in respect of the Society’s financial transactions;
-
preparing the Society’s financial statements;
-
making the Society’s filings respecting taxes.
In the event that no Directors serving on the Board wish to take on the role of Treasurer; the role of Treasurer may be outsourced to any reliable and trustworthy person, with financial acumen, not currently serving on the Board, as determined by the current Board of Directors.
This person would not have Board voting rights, or power to spend any Society money without Board approval, and would only serve to fill the financial duties listed above, under the watch and guidance of the Board of Directors. This person would be required to report Society financials, to the Board of Directors, upon their request, and must keep all financial documents transparent and accessible for Board members to view at their leisure.
